Renewals: what happens and when

Billing · For everyone · Updated Oct 20, 2026 · 2 min read

A membership runs for its term and nothing is charged by itself. Here is what the portal does around a renewal, and what you can do yourself.

30 days before the term ends

The portal issues a renewal invoice for one year at the price book of that day and tells every user of your organization. The invoice is in Billing; any user can pay it (card, bank transfer or purchase order, as your organization pays), and the membership extends for the invoiced term on the day it is paid. Your dashboard and My Membership show the date the invoice is issued and the expected amount before then.

Renewing earlier, or for longer

An owner does not have to wait for the invoice. On My Membership the Renew form issues an invoice now, for one, two or three years (longer terms carry a discount). The new term starts the day after the current one ends, so renewing early loses nothing. An owner can also change an open renewal invoice to a longer term before it is paid; the old invoice is replaced.

If the renewal is not paid

When the term ends with the renewal unpaid, the membership enters a grace period: benefits continue and the renewal invoice stays open. My Membership shows the last day of grace. After it, the membership lapses: workspace pages that need an active membership close and the Showcase profile is hidden. Paying the renewal reinstates the membership, and the profile comes back.

Changing the tier

A membership keeps its tier for its term. To renew into another tier, or to change the enrollment figure a district's price is based on, open a ticket before the renewal invoice is issued: the invoice is priced on the day it is issued.
